Asset Management

Asset management connects each building asset to its location, condition, operational importance, maintenance requirements and history. It gives property teams a reliable way to decide what to inspect, repair, retain or replace.

Discuss your requirements

An operating system for the estate.

A register that supports decisions

An equipment list is only useful when people can identify the same asset on site and in their records. We establish consistent references and check how equipment, spaces and systems relate to one another.

We then connect the register to maintenance and investment decisions. A failed fan serving a lightly used store has a different consequence from a fan supporting a critical occupied space. We record that operational context so priorities reflect the building's use.

Who this service is for

For owners, occupiers, managing agents and FM teams with missing registers, inconsistent contractor records, newly acquired premises or assets spread across several sites. It also supports businesses preparing a maintenance tender or replacement programme.

What we deliver

A defined asset hierarchy, register, data-quality findings, criticality assessment and action list. The scope identifies the equipment classes, locations and information fields included. Cost depends on asset numbers, access, tagging requirements, existing record quality and the depth of condition assessment.

04

Typical activities

Reconcile existing lists; walk down agreed areas; capture identification plates and photographs; check duplicate records; establish asset locations; record observed condition; connect maintenance documents; and identify equipment needing specialist investigation.

How an asset enquiry works

Send the available register and site list. We agree the asset boundary, inspect the necessary locations, reconcile observations with documents and return a register with clear exceptions. Unidentified equipment stays flagged until its identity is resolved.

Service delivery model

01

A one-off register build can be followed by scheduled updates or an ongoing change-control service. Site surveys gather physical evidence; remote work reconciles documents and prepares information for the client's chosen system.

Our responsibility and your interface

01

We manage the agreed capture, checking and update process. The client identifies operational dependencies, confirms ownership boundaries and authorises access. Equipment additions, removals and replacements need a named route back into the register.

Technology and systems

We agree file formats, identifiers, required fields and document links before capture begins. Data can be structured for the client's maintenance system; imports and integrations have their own agreed scope and acceptance checks.

Compliance and governance

01

The register links assets to relevant inspection and maintenance evidence. Missing inspection evidence stays flagged for follow-up. HSE explains that work-equipment inspection should identify deterioration affecting safe use: work-equipment inspection guidance.

10

Priorities and response management

We agree how safety concerns, critical missing records and routine corrections are raised. Urgent observations go to the named site contact; register completion targets remain separate from attendance or repair commitments.

Measuring performance

Useful measures include assets with verified locations, required fields completed, duplicate records resolved and maintenance records matched. Report the number assessed alongside each percentage so a small sample cannot appear to represent the whole estate.

Reporting and visibility

01

You receive a usable register, a summary of coverage, outstanding verification tasks and a prioritised action list. Each unresolved item records the reason, next step and owner so gaps remain visible after the survey.

Asset and site information

01

Useful starting records include asset lists, drawings, manuals, service reports, installation dates and location naming conventions. We distinguish observed details from information supplied in older documents and retain the date of verification.

Our delivery process

01

Agree the data standard; capture and reconcile a first area; confirm the format; complete the agreed estate; review exceptions; and hand over the register and update procedure. Ongoing reviews incorporate replacements and check whether criticality has changed.

What this helps you achieve

Find equipment consistently, scope maintenance more accurately and identify where decisions still depend on missing information. A maintained register also helps a new contractor understand the estate without rebuilding its history.

Why Black & White Facilities

We connect asset information with the work it needs to support: maintenance instructions, fault histories and replacement planning. We agree who keeps each record current so the register remains useful after initial capture.

Locations we cover

Our North East coverage includes Northumberland, Tyne and Wear, County Durham and the Tees Valley: from Berwick-upon-Tweed, Alnwick, Morpeth and Hexham to Newcastle, Gateshead, Sunderland, Durham, Darlington, Hartlepool, Stockton-on-Tees and Middlesbrough. See the full locations directory for the recorded areas and towns.

We plan visits and portfolio work around site addresses, access and the required service. Wider specialist and multi-site requirements can be discussed alongside the North East estate.

Frequently asked questions

Does every item need a physical tag?

No. We agree which assets need tagging and where existing unique labels are sufficient. Tags must remain readable and suitable for the environment without obstructing safety information.

Can you use our existing spreadsheet?

Yes. We first check its identifiers, fields and duplicates, then agree what to retain and what requires site verification.

Is a register a condition survey?

No. A register identifies equipment. Condition assessment adds a defined judgement about its state; testing or detailed surveys need a stated inspection scope.

How are replacement assets recorded?

Close or retire the old record, preserve its history and link the new equipment to its location and installation evidence. Reusing an old identity without a clear change record can confuse maintenance history.

Discuss your requirement

Contact Black & White Facilities with the site or portfolio addresses, the decision or problem you need to resolve, available records and your target date. Include the person who can arrange access and approve the scope. We will use that information to define the work, outputs and next steps.
