Facilities Management

Soft Facilities Management

Soft facilities management covers services supporting the people who use a building and its everyday environment. The agreed scope brings together activities such as cleaning, hygiene, waste, grounds and security support, with service standards matched to the premises.

An operating system for the estate.

Service Overview

Soft FM starts with how a place is used. An entrance experiences different demand from a meeting room; a busy washroom needs a different routine from a lightly occupied office. The plan should reflect those differences rather than apply one frequency to every area.

We define tasks, access, replenishment and quality checks around occupancy and operating hours. This connects recurring routines with seasonal requirements, events and requests raised during the working day.

Clear boundaries matter. A cleaner reporting a damaged fitting, a grounds visit revealing a drainage issue or a security report identifying a faulty door needs a route into the appropriate repair service.

Who This Is For

This service suits commercial occupiers, managing agents and estates teams coordinating several workplace services. It also supports organisations reviewing standards after an occupancy change, expansion or recurring complaints about the condition of shared spaces.

What We Manage / Deliver

Your schedule identifies the areas and services included, task frequencies, agreed quality standards, consumables and periodic work. It covers the selected cleaning, washroom, waste, external-area and security activities. Deliverables include an area schedule, service instructions, inspection records and a follow-up action log.

04

Typical Service Activities

  • Plan routine cleaning and periodic deep-cleaning requirements.
  • Coordinate washroom services and consumable replenishment.
  • Arrange waste collection interfaces and access to storage areas.
  • Schedule grounds and seasonal external maintenance.
  • Review service quality and route repair findings to the correct team.

How the Service Works

01

A request begins with the exact area, problem and impact on users. We identify the service responsible and whether it falls within the routine scope or needs an additional instruction. The activity is arranged around safe access, then checked against the requested outcome. Defects needing another trade are recorded and passed on.

Service Delivery Model

01

We agree a combination of recurring attendance, periodic specialist work and additional requests. The practical choice depends on occupancy patterns and service demand. Area, footfall, finishes, required frequencies, consumable use, access restrictions and operating hours affect cost. Event work and major occupancy changes need a clear variation process.

What We Take Responsibility For

01

We coordinate and manage the soft services named in your agreement, including instructions, checks and agreed follow-up. The scope identifies who provides storage, utilities, access and occupancy information, and who approves extra work. Specialist boundaries are explicit, including restricted areas and waste streams requiring separate arrangements.

Technology & Systems

Service schedules and inspection records need clear area references and an accessible way to report exceptions. We agree the recording method, photographs where appropriate, access permissions and reporting format. Technology should make a missed task or recurring issue easier to find and resolve.

Compliance & Governance

01

The service plan identifies relevant site rules, risk assessments, competence requirements and specialist records for each activity. Cleaning methods, chemicals, waste handling and security duties need task-specific instructions. Sensitive areas require defined access and information controls. IWFM's introduction to FM places workplace services within the wider management of premises.

SLA & Response Management

01

We agree how routine tasks, urgent service issues and additional requests are prioritised. A missed scheduled clean, depleted consumable and spill affecting access have different consequences. Response arrangements identify the escalation contact and how affected building users receive an update.

KPI & Performance Management

01

Useful measures include inspection findings, repeat complaints, missed tasks and the time taken to correct defects. Attendance alone does not demonstrate the agreed standard. Quality checks need consistent criteria, the inspected area and a record of corrective action.

Reporting & Client Visibility

01

Reports show service delivery, recurring problem areas, usage changes and outstanding client decisions. They connect complaints to follow-up rather than simply counting them. Periodic reviews identify whether the task specification still fits the occupancy and condition of the premises.

Asset / Site / Portfolio Data

01

Provide floor plans or area lists, occupancy hours, current specifications, waste arrangements and access restrictions. Identify sensitive finishes, storage facilities and known problem areas. Area naming must be consistent so the service schedule, inspection and request all refer to the same place.

Our Delivery Process

01

Mobilise: map areas, agree standards and establish the schedule. Operate: deliver recurring and instructed activities. Monitor: inspect quality and review feedback. Improve: adjust methods and frequencies using the findings. Handover includes current schedules, stock responsibilities and unresolved service issues.

Service Outcomes / Benefits

The result is a service arrangement people can understand and assess: defined standards, visible follow-up and routines that reflect building use. It supports a better everyday environment while giving the client a clear basis for reviewing quality and expenditure.

Why Black & White Facilities

Our service range links workplace activities with the maintenance and building work they reveal. A soft FM requirement can therefore be discussed alongside repairs, external upkeep and wider facilities management, with each element given a clear scope.

FAQs

Is soft FM just cleaning?

No. Cleaning is one element. The selected package also covers the relevant hygiene, waste, grounds and security requirements identified in the service agreement.

How are cleaning frequencies decided?

Area use, footfall, finishes and the required standard inform the schedule. Review the frequency when occupancy or use changes, rather than assuming the original routine remains suitable.

Are consumables included?

The specification states which products, quantities and replenishment responsibilities are included. It also explains how exceptional demand is handled, so supply and labour are not confused.

Can periodic work happen outside normal hours?

We agree the working window, access and security arrangements when scoping the activity. The plan identifies who opens, closes and accepts the area afterwards.

How do you deal with a recurring quality complaint?

Identify the area and expected standard, inspect the issue and record the corrective action. Repeated findings should trigger a review of the method, frequency or specification.
