What We Take Responsibility For

Technical resources remain responsible for their findings and work; the helpdesk records those outcomes and checks that required information returns.
Technology & Systems
The agreed recording method needs unique job references, timestamps, ownership, status and an accessible history. We establish required fields, user permissions, data access and reporting arrangements before operation. A portal or system integration belongs in the scope only when its functionality and support requirements have been agreed.
Compliance & Governance
Requests should contain the information needed to manage the building issue, with access limited to appropriate users. Sensitive personal information and access credentials require controlled handling. Site incident procedures and authorised escalation routes remain explicit; a helpdesk request does not replace the site's emergency arrangements.
SLA & Response Management
We agree what each priority means and when the response clock starts. Acknowledgement, attendance, restoration and closure are measured separately. Waiting for parts, approval or access needs a recorded reason and next action, rather than an unexplained pause. Operating hours and escalation cover are stated in the agreement.

Provide site names and addresses, local contacts, asset references, current suppliers and responsibility boundaries. Add authorised instruction limits and escalation contacts. These records need a named update owner: an accurate supplier list at launch is insufficient if contact details change without being passed on.

Does a helpdesk include round-the-clock cover?
Service hours and any out-of-hours arrangements are specified in the agreement. The word “helpdesk” alone does not define availability or attendance cover.
Can the helpdesk instruct our existing contractors?
Yes, where the arrangement names those contractors and provides the required instruction authority, contact details and reporting expectations.
What information should a caller provide?
Give the site, exact area or asset, what has happened, the effect on users and a contact for access. Photographs help where they can be taken safely; callers do not need to diagnose the fault.
When is a request closed?
Closure follows the agreed completion criteria and required evidence. Attendance alone does not establish that a repair is finished. Linked remedial work must remain identifiable.
What happens when several people report the same fault?
Related reports are linked to the original job so delivery is coordinated once. The record retains the affected areas and users rather than discarding useful information from later callers.
