What Is Contractor Management?

Contractor management is the organisation of an external provider's work from selection and instruction through site coordination, completion and review. It establishes what the contractor is doing, how its work fits the premises and what information must be returned.

Start with a usable instruction

A supplier cannot price or plan an unclear job reliably. Identify the location, intended outcome, known conditions, access arrangements and required completion information. Separate investigation from a defined repair when the cause is not yet established.

An instruction should also explain who can authorise changes. If the person meeting the contractor on site cannot approve extra work, the escalation route needs to be clear before that situation occurs.

Selection and preparation

The contractor needs the relevant competence and resources for the actual task. Check the evidence required for that scope rather than treating a generic supplier questionnaire as proof of every specialist capability.

HSE's Using contractors guidance explains the importance of defining the job, assessing risks, exchanging information and coordinating the work. The client and contractor each retain responsibilities; appointing a contractor does not remove the need to manage their interface.

During the work

Site arrangements should explain access, contacts, work-area controls and how the contractor communicates changes or findings. Other activities in the building must be considered so that instructions do not conflict.

Progress updates are most useful when they explain the next decision. 'Awaiting approval' should identify what is being approved, who needs to decide and the effect on the work. Where the scope changes, retain the revised instruction with the original record.

Completion and follow-on work

The completion record should identify the work performed, findings, outstanding items and relevant photographs, reports or test records. Check it against the agreed deliverables before treating the requirement as resolved.

If another trade is needed, create a connected action. A roofing contractor completing a repair and a decorator making good internal damage are separate activities within one wider property requirement.

Review the supplier fairly

Consider quality, completion information, communication, repeated defects and performance against agreed commitments. Record client-side delays as well as supplier delays. Otherwise, the score can misrepresent the cause and lead to the wrong improvement action.

Common questions

Is contractor management just checking insurance?

No. Insurance is one part of the supplier information. The job still needs suitable competence, clear instructions, coordination and completion checks.

Who approves extra work?

The person with the agreed authority. Record the decision and updated scope so the contractor and client have the same instruction.

Does a supplier's visit close the job?

Only if the agreed requirement is complete and the necessary information is returned. Attendance alone does not establish that result.
